ABSTRACT OF WORKING SYSTEM

  • Wolvox Otel program can be used at hotel , motel , hostel and apart hotel . You can make tracks of rooms and customers easily.

 

 

RESERVATION

  • Reservation check-in can be done quickly and easily.

  • Record of previous reservation can be found.

  • Information of voucher can be defined at reservation entry.

  • Selection of hostel type can be done during record.

  • Making selection of reservation type can be provided ((Definite, Pending, Tentative, Optional...)

  • It can provide a warning to the user at the specified date and time for the records in "Pending" and "Reserved" status.

  • Advanced interface can be use at check-in, no-show and cancel operations on single screen.

  • Control of repeat guest can be done at hotel.

  • Registry information and request of guests can be recorded.

  • Information of expired reservation can be seen.

  • Record of inventory on reservation can be kept.

  • Reservations can be made to wait, while waiting reservations can be settled.

RESERVATION RECORD

  • The customer reservations, check-in operations, cancel operations, folio operations and exit operations can be done from this field.

  • Information about accommodation of customers can be taken.

 Rezervation

Check-in/Check-out/Reservation Date

  • Check-in and check-out dates of customers can be typed to this field.

Agent

  • You can select agent for your customers from this field.

Contract

  • You make a selection contract from defined contract. If default contract is defined, it selects by default. If you make agent selection, contract for agent will be selectable.

Voucher

  • If the customer stay with voucher at hotel, voucher of comment can be typed.

Pan(motel type)

  • You can make a selection motel type of customers. If you have indicated the diffrence of the hostel at the entrance of the semester, the program will add the relevant difference values to price for room you selected.

Room Number

  • If you want to reserve several rooms during booking, you can type the number in this field.

Country/Nationality

  • Country and nationality can be written at this field.

Night price

  • Depending on the contract, the nightly fee will be reflected in the relevant area.

Room details

  • You can select room for custemer.

Financial Officer

  • You can select person who pay to accommodation and other folios. You can also determine the financial responsible person from this area.

Room Owner and Guests

  • You can select who stay at hotel from this field. Adding customer can be done by typing name and surname of customer for unregistered customer.

  • Customer card can be opened, reservation history of customer can be seen, check-out can be made and guest can be deleted from this field

Person Details

  • Entry of adult and child number can be defined from this field.

Reservation Information

  • Information of customer can be defined from this field.

Additional Information

  • You can enter some additional information to be used in the reporting so that you can make future plans.

Room Price Period

  • From this tab you can view which room rate period you will be using during your stay at your hotel. You can also change manually.

Notes

  • You can enter notes about reservation

Card History

  • You can check the operations such as room change, folio transfer made in reservation.

Inventory Transactions

  • You can get the transactions and reports for inventory given to your customer.

OPERATIONS

Let's look at the operations we can perform from the “Actions ” field in the top menu

Invoice Transactions

  • You can list invoice and records of the reservation. You can also bill selected folio transactions.

Action Operations

  • If you don't want to add action operations , you can select “Do not se action for this reservation” option.

Food Services

  • Food plans about reservation can be added . So your kitchen staff can plan their meals according to food plans.

Locater

  • You can record where your customer is leaving for a temporary period from your hotel.

Message Service

  • You can record the customers' notes from this field.

Department Message

  • The notes between deparments can be recorded at this field.

Files

  • The file entry about reservation can be done.

Folio Forwarding

  • The folio transaction can be transfered to other reservation with this field.

Expense Selection

  • The expenses that created at 'Expence Definitions' can be transered to reservation card from this field.

Reminder

  • You can set a reminder for reservations that are on pending or reserve, so that the program alerts you at the date and time you defined.

Group Operations

  • You can seperate a reservation from group reservation or add to group reservation.

Pending-Change Reserve Status

  • The reservation record can be moved waiting list, the reservation on waiting list can be moved to reserve status.

Cancel

  • The reservation can be canceled from this field.

Cancel/Restore

  • The cancel can be restored from this field.

No Show

  • It can be used for the customer has a reservation but haven't made check-in process.

Check-in Cancel

  • It can be used for cancel check- in.

Hotel Staff

  • If the reservation belong to hotel staff , this field can be used.

Copy

  • You can copy the reservation and complete the registration by editing the copy reservation

 

FOLIO

  • The field where you can view and add the folio operations. You can also make collect, check-out and invoice operations from this screen.

 

Folio Transaction List

  • The all of the folio operations can be listed from this field. The folio transactions can be viewed from single screen or separately from the tabs.

Bill of mini bar transaction list

  • You can view the bills you have closed in the Wolvox Restaurant program for this reservation.

Phone Call List

  • The phone calls of customers can be viewed from this field.It only can be automatically processed at systems that has integration with Akınsoft Switchboard Server Program.

Extra-Discount List

  • You can view and select extras and discounts that you have created by using the extra and discount definition field on reservation.

Invoice Transactions

  • The invoice informations of reservation can be viewed from this field. All of the folio transactions can be invoiced from this field.

Deleted Folio Transactions

  • The deleted folio transactions can be viewed from here.

Invoice Transactions

  • The process of making invoice can be done from this field for folio trancastions. The folio trancastions can transfered to invoice field.

Transfer Selected Folio Transactions

  • It can be used for transfer of selected folio transactions. The folio transactions can be transfered to other customer or room by finding reservation card.

Delete Selected Folio Transactions

  • It can be used to delete selected folio transactions.

Add End of Day Folio Transactions

  • You can use it to add upcoming dated folio movements to customers with early exit but unprocessed folio transactions.

Find Folio

  • It can be used for find to folio transactions.

Folio Options

  • You can use it to block invoicing of agent details in the invoices you need to arrange for your customers.

Invoice Selected Folio Transactions

  • You can create bills by moving the folio transactions you have selected to the billing area.

 

Add Folio Transaction

  • The folio transaction can be added from this field.

General Payment

  • The payments of customers can be done from this field. The making invoice to customers can be done . If different customer pay the account, the customer who pay the account can be added from 'Add Customer'. The customer can be deleted from screen of general payment with 'Delete Customer'. The process of check-out can be done quickly from general payment.

Quick Payment

  • The account of customers can be done quickly by selecting payment type from screen of quick payment.

Check Out

  • The process of check-our can be done from this field after the account of customer is closed.

Check Out Cancel

  • The process of check-out can be canceled from this field with one click.

Print

  • The folio transaction of customer can be printed, can be saved or can be send as an e-mail from this field.

Shortcuts

  • The process of shortcuts can be viewed from screen of shortcuts. The process can be done faster with shortcuts.

Close

  • The screen can be close from this field.

 

RESERVATION EXTENSION

  • The reservations that have late check out can be extented to desired date from 'Date to be extented'.

  • You can click 'Apply Time Extension Process' button to apply extension.

 

GROUP RESERVATION

  • You can use it to make resercations for a guest group consisting of an agency or a certaion group. This field can evaluate like mass entry.

  • Firstly, you should select agent. You can type to entry and exit day , you can select contract and type name of group. You can select of room type and you type room number. After you enter information of reservation, you can click 'Add Reservation by Criteria' button and the rooms lists according to room type.

 

ROOM BLOCK OPERATIONS

  • The room of recorded reservations can be blocked by using this field.

  • The rooms can be waited for selected customers until the customers make entry . If you want to remove room block of selected reservation , 'Remove room block of selected reservation ' can be used.

Filter

  • The filtration process can be done from this field.

Separate Reservation

If you have specified the number of rooms during the reservation, you have to make a reservation for the number of rooms by pressing the “Separate Reservation” button above

Check-in

  • The reservation can be selected with 'Shift' key. The check-in process can be done from this field.

  • The customer entry can be completed with using this field.

Open Reservation Card

  • The reservation card can be oped from this field and it can be edited.

Open Client Card

  • The client card can be opened from this field.

Shortcuts

  • The process of shortcuts can be viewed from screen of shortcuts. The process can be done faster with shortcuts.

Close

  • The screen can be close from this field.

 

 DAY-TRIP CHECK IN

CUSTOMER RECORD

  • The records of customers who stay at hotel can be done from this field.

  • The ID informations of customers can be typed at this field.

  • The customer record can be connected to one client card . The client card of customers can be created .

  • If there is a integration between General Accounting Program, The general accounting codes can be typed.

Other Info

  • The images of customers can be added from this field. Additionally, the credit card info and custom info can be added from this field.

  • The customer can be added to blacklist. If the customer add to blacklist, the program gives warning when you make a process about the customer.

Custom Definition

  • The extra information can be added from custom definition.

  • You click button of 'Setting' for create the custom definition. The custom definition can be created by defining category name, field and selecting data type.

Reservation History

  • The reservation record of customer can be viewed from reservation history. The reservation of customer can be done according the room type of customer preference.

REPORTS

 

Group Reservation List

  • The group reservation that you created can be listed from this field.

  • The details of customer can not be viewed on the report content. The reporting according to group informations can be done.

Room Status List

  • The information for rooms about occupancy/space, dirtiness/house keeping can be viewed from room status list.

  • The new reservation can be created from by selecting room .

Day – Trip Check-in Report

  • The record of the day-trip check-in can be viewed from The Day-Trip Check-in Report .

  • The record can be opened with double click and the edit can be done .

Customer List

  • The recorded customers can be viewed from The Customer List.

  • The customer record can be opened with double click and the edit on the customer record can be done.

Customer List(Serial Label)

  • The adress label can be printed to the recorded customer from The Customer List(Serial Label).

 

RECEPTİON

  • The check-in process and group check-in can be done with one click.

  • The blocking rooms, occupied rooms, empty rooms, clear rooms and dirty rooms can be listed from The Rack View.

  • The front office operations can be done on the rack view. (Check-in, check-out, room changing, date changing... )

  • The accommodation time can be extended quickly on the reservation schedule with drag and drop method.

  • The sending message and mail can be done.

FRONT OFFICE OPERATIONS

 

  • The Rack View , The Reservation List , The Reservation Schule , The Accommodation List can be viewed together from 'Front Office Operations ' .

  • The recorded rooms can be viewed rack, list and schedule.

  • The details of customers can be viewed.

  • The reservation record can be opened quickly.

  • The rooms can be viewed at form occupied / empty / dirty.

  • The screen of reservation record can be opened by selecting the room with double click. After the reservation process can be created.

  • The details of customers who stay at room can be viewed on the occupied room when you click right with the mouse.

  • From 'Rack Operations'

The view setting of rack view can be edited from 'Rack Operations'

The view can be only symbol or small icon . The dirty room, capacity and remaining staff, the rooms related to event can be showed from this field.

 

ROOM RACK SCREEN

  • The numbers of rooms (vacant, occupied, blocked, vacant dirty, defective, will check-out ) can be viewed from this screen.

Room Rack

  • The reservation records can be opened quickly with double click on the rooms have a reservation. The edit on the reservation record can be done.

Detail

  • The information of customer can be viewed from detail field.

Separated

  • The vacancies, occupied rooms, blocking rooms, the ones will check out rooms can be viewed from separated field.

 

RESERVATION LIST

  • The Reservation List is in the FRONT OFFICE OPERATIONS.

  • The rooms and customers can be listed according this table. If the reservarion status selected as cancel, the informations of customers who cancel the reservation can be viewed. If the reservation status selected as check-out, the informations of customers who make the check-out process.

  • The invoice transactions of selected reservation can be viewed from operations field.

  • The reservation can be done by selecting a room from room status list at operations field.

  • The subtotal can be viewed from this field. You should click 'Calculate' after filtration.

 

RESERVATION SCHEDULE

  • The occupancy status of rooms can be viewed .

  • The reservation record can be done with double click on the room.

  • The vacancies can be viewed for forward date on the reservarion schedule. The reservarion for a forward date can be done quickly with this feature .

  • The start and end date of schedule can be selected .

  • The filtration can be done by selecting reservation status.

     

ACCOMMODATIONS LIST

  • The list of customer who make a check-in and check-out can be viewed from accommodation list.

  • The accommodation list can be printed.

  • The entry of agent can be viewed from accommodation list.

  • The filtration can be done by selecting agent.

 

HOTEL STATUS REPORT

  • The general status of hotel can be checked from hotel status report.

  • The rate calculations can be done at room based. For example, If your hotel has 100 rooms and 50 rooms are occupied, the occupancy rate will be 50%.

  • The hotel status report can be printed .

  • The report can be get for specific accommodation type by using filtration options.

VISION SCREEN

  • You can reflect the overall occupancy status of your hotel from second monitor. It allows your customers to see empty and full rooms.

  • The report of dirty and clean rooms can be listed.

  • The status of rooms can be changed.

  • The filtration can be done with 'F2' key.

  • The room record can be opened with this button.

  • You can change the status of room to clean with this button.

  • You can change the status of room to dirty with this button.

Print

  • The list can be printed, can be saved or can be send as an e-mail from this button.

  • The shortcuts can be viewed with this button.

COMPLAINT MALFUNCTION RECORD

  • The record of inventory that has complaint and malfunction can be done.

  • Firstly, you can create the complaint malfunction record. When the problem solve, the record can be opened from complaint – malfunction report and the analysis info can be entered.

 

 

LOST PROPERTY REDORD

  • The lost property of customer can be recorded. You can type object, location and description on the lost property record. The transaction type can be changed as found after property is found.

  • The report of lost property can be get from this field.

AGENT RECORDS

  • The agent can be recorded .

  • The information of agent can be entered at general info tab.

  • The commission values can be entered after selecting 'Working a broker' from other info tab.

  • The commission will be calculated according the values on the incoming customers of agent.

  • The reservation record of customers of a selected agent can be listed from agent reservations tab.

AGENT QUOTA

  • The room quota at specific date range can be defined.

  • You can make room type selection. You can type start and end date. The total number of rooms which the quota is definitely can be entered to field of guarantee room . The custom code about quota can be defined at custom code 1, custom code 2 and custom code 3. The filtration process can be done quickly with this custom codes.

 

AGENT STOP SALES

  • The agent of sales can be stopped by selecting room type and by entering start and end date.

 

CONTRACT RECORDS

  • The contract about agent can be recorded.

  • Fields where you can record contracts you make with agencies. Type contract description and choose currency. You can indicate child age groups from this area. Specify the contract date, start and end dates, room quota for this contract.

  • You can enter a price for contract based on date ranges.

  • You can also define early reservation discounts from this area.

  • You can specify date after you type the definition of contract and number of contract .

  • If you choose wage type as per person, you need to type room price for per person. You can also define price for the age ranges you set at the contract entry.

  • If you choose wage type as room price, the wage will be based on room.

  • If there is Hostel difference at your hotel , you can define the Hostel difference below.

Rules

  • You can specify check-in days, check-out days and accommodation days from this field.

  • The max and min number of day, check-in and person can be created.

  • The term price can be created from this field.

  • The extra and discount rate or amount can be specified from this field. Extra and discounts you define in this area automactically are reflected on the “Authorized” menu. It is enough to specify the ratio/amount that you want to use.

  • The new term can be added from this field.

Add Early Reservation to Term

  • The early reservation to term can be added from this field. The start and end date of reservation can be entered differently from normal reservations.

Copy Selected Term

  • The selected term can be copied from this field.

 

 

ACTION DEFINITIONS

  • By defining an action to an agent that you create, you can specify the discounts or benefits.

  • The valid dates for action can be defined from the start and end date field.

  • The valid dates for reservation can be defined from the reservation start and finish date field.

  • By specifying priority, you can specify which one to use if there is more than one action in the same dates.

  • Under the "Day Action" title, you can create a definition like Stay X days and pay Y days.

  • You can specify whether an action definition that you have made in the "If breaking then' field as stay X days and pay Y days, will be calculated during customer check-in or during check-out.

  • Under the "Discount Action" title, you can create a define Y Lira or % Z discount on X days accommodation.

Agents List

  • The agent records you have created can be listed from this tab.

Agent Quota List

  • You can get a list of the quotas you have defined for the agents.

Agent Stop Sale List

  • You can get the stop sale list that you define for the agent.

Action List

  • You can get the actions list that you define for the agent.

 

FRONT CASH ACCOUNT

  • Creating cash pool for confirming the transactions and transfer operations, 

  • Exchanging foreign currency and getting report, 

  • Getting report of cash totals in currency or foreign currency, 

  • Defining mass folio transaction to room cards from cash account, 

  • Closing balance of guests according to defined folio payment type with one button. 

 

CASH OPERATIONS

CASH TRANSFER

  • You can make transfer money between your cashes.

  • After filling the transfer information, select the source cash account and the target cash.

  • If you want to transfer the foreign currency, click "Foreign Currency Operation". If you want to change the rates, you can change manually in the purchase rate and sale rate field.

  • After you write the transaction amount, press the "Apply Transfer" button to complete the transaction.

 

CASH TRANSFER POOL

  • Transfers that you have made using the cash transfer field will be reflected in the "Cash Transfer Pool" field.

  • The record of cash transfering can be viewed by clicking 'Filter'.

  • By clicking on the "Apply Transfer" button at the bottom, they can be reflected in the accounts of the transferred amount.

 

TOTAL CASH OF ALL CASH ACCOUNTS

  • The balance can be viewed for the selected cash, by clicking on "Cash Account Turnover" button at the bottom.

  • You can specify the personel to cash account turnover and the document can be printed.

  • The report settings can be done from 'Settings' field.

 

TOTAL CASH OF ALL CASH ACCOUNTS(ADVANCED)

  • In the "Total Cash of All Cash Accounts Advanced" field, you can view the total amount of the cash register you choose by your currency and forgein currency.

 

6.4.CUSTOMER BALANCE CLOSING

  • The total debit, total credit, balance and account of selected customer can be viewed from this module.

  • The collection to customer can be done from this module.

  • The debit of customer transfered to the 'Transaction Ammount' field by selecting 'Transfer' button. The debt balance will be reflected in the "Transaction Amount" field.

  • If you want to enter the number yourself, type the number you will collect in the "Trancastion Amount" field.

  • Depending on your preference, you may be able to fill in the transaction date, custom code, document number, comment, etc.

  • In the "Operation Type" field, you can specify how you are doing the collection. Depending on the operation, the cash or bank selection field will be active.

  • Press the "Apply" button to complete the process.

 

CUSTOMER BALANCE LIST

  • The balance of customers can be controled from this module .

  • On the list; debit, credit, balance of your currency and foreign currency are listed separately.

  • You can choose the customer you want to view by using the filtering criteria, or you can click on the "Filter" button to view balance of all your customers.

  • You can choose customer type and balance status by using the filtering criteria.

  • The record of customer can be opened from 'Open Card' field.

 

6.6.MASS FOLIO TRANSATION ENTRY

  • A field that provides you to have more than one folio transaction entry in more than one room quickly. Press the "Add Folio Transaction" button at the bottom to do the process.

  • On the opened screen, select the room number you want to process from "Room Number". You can select the guest you want to process the folio transaction from the transaction owner field. After you write the amount, specify the account department .

  • The comment can be type manually .

  • You can complete the process by pressing the "Add" button. You can do the same operation to enter a new transaction.

 

MASS FOLIO TRANSFER

MASS FOLIO PAYMENT

  • The payment of customer folio transaction can be taken from this module quickly .

  • By taking advantage of the filtering criteria you can take list of specific transactions.

  • By double-clicking on the payment status field of transaction you want to pay, the payment types can be viewed. After you choose the payment type , you will select the bank or cash is connected to the payment type.

  • To complete the folio collection process, press the "Complete Payment" button at the bottom.

Select Payment

  • By presing "Select Payment" button , the payment types can be viewed. After you choose the payment type , you will select the bank or cash is connected to the payment type.

Clear Payment

  • By presing "Clear Payment" button , you can clear a folio transaction.

Open Reservation Card

  • By presing "Rzv. Open Card" button , the reservation card which the folio is connected can be opened .

Shortcuts

  • The process of shortcuts can be viewed from screen of shortcuts.

Close

  • The screen can be closed from 'Close' field.

 

CRM

  • CRM is management of relations that are between you and your customer.

  • Wolvox Hotel CRM (Customer Relationship Management) will help you to increase investments and profit of your business by caring your customers, with the princible of creating customer loyalty.

  • Creating survey for the guest who stay at your hotel and tracking them can be done .

  • Mid-evaluations with these surveys between start and end of season can be made.

 

SURVEY RECORD

  • You can save the surveys that you prepare for your customers by selecting 'Save' button at the middle.

  • You can create the question of survey on the 'Question ' field.

  • You can create the answers from 'Answer' field.

Find Survey

  • The recorded survey can be found from this field.

Survey Entry

  • The survey entry can be done from this field.

Print

  • The survey can be printed from this field.

Close

  • The screen of survey record can be closes from this field.

 

SURVEY ENTRY

  • You can save the results of surveys by using this menu.

  • You can select customer or client to complete a recorded survey.

  • If you click “No Connection” button, you can complete survey for unregistered customer. Then mark the answers and click “Apply Results” button.

CUSTOMER SUPPORT RECORD

  • You can save the technical supports that you provide.

  • You can select customer by “Select” button and save support details by “Support” button. To specify the product that your customer requests technical support for, go to “Product / Service Info” tab and click “Select” button in “Product Info” section. Please make product selection from opening screen. From “Service Record Info” section, by clicking “Select” button, you can select the product that you provided technical support before.

  • You can create the areas manually that do not exist about support record from “Custom Definitions” tab. From “Process-Solution” tab, you can enter the process that is done or solution.

 

SERVICE RECORD OPERATION

  • The record of service can be done from this field.

  • The service operation can be added from this field.

  • The description can be added if you want to add.

 

 

REPORTS

 

Survey Report

  • You can get the report of survey records that you create by using survey entry section.

  • Survey information is located at the top of report, survey answers and the person info whose participate in the survey

    at the bottom.

  • Also, it is able to get the report graphically from “Graph”.

Service List

 

  • The service record of list can be taken from this field.

  • The service record can be opened from 'Open Card' tab.

  • You can print the report by “Print” button at the top .

Customer Notification Report

  • The report is support records that you create.

  • It is able to get the report by filtering with filtration criteria.

  • To open support record, please click “Open Record” button at the top.

 

DEPARTMENT COMMUNICATION

USER DEFINITIONS

  • To provide communication between your departments, you must first define your users.

  • You have define your users from the WOLVOX Control Panel program and you can come to this field and match your users with your departments.

  • In this way, the message that you create in the department message system will only be transmitted to the personnel who are authorized to the relevant department.

  • If you want to do the matching, select the relevant department from the departments on the bottom after you have selected the staff.

  • You can press "Add Department" button at the top to add a new department. In the pop-up screen, you can type in the description of the department after clicking on the "Add" button, if there is an comment you want to specify.

 

DEPARTMENT COMMUNICATION

  • The field you can use for communication between departments.

  • For example, you can send cleaning request of the room (101 number) to Floor Attendant by using this field .Firstly you have to choose the department you want to process. Then enter the required information in the message content field.

    Press "Send" button to complete the process.

 

  • The program will send a warning message to the staff that you create in the user definitions and to whom you are mapping.

  • In case of clicking on the alerts, the detail screen will be opened and the "OK" button should be pressed after the process is completed.

 

COMMUNICATION REPORT

  • You can list department messages you created by using the department communication field from this field.

  • Unprocessed messages will be active and processed messages will be listed as passive. To get a report, you can click the "Filter" button at the bottom by selecting the relevant options in the filtering field.

 

NOTIFICATION SERVICES

  • Waking up guests when the guests want with the wake up service,

  • Communicating between departmens for forwarding guest requests to housekeeper,

  • Tracking all services that are given to room by recording every notification,

  • Tracking shuttle hours for transpotting to hotel.

 

LOCATOR (LOCATION INFO )

  • You can record location where your customer who has left your hotel temporarily.

  • To create a recording, you first need to create the location record.

  • Once you have made the reservation selection, press the "Record Location" button. The reservation choice can be done from "Search Reservation "button.

  • Press the "Save" button by typing the name and comment of the location you will be recording.

  • You can view the general occupancy values of your hotel on a graph and list basis.

  • The general occupancy values of your hotel can be viewed at the date ranges you specify from the start and end date fields.

  • At the bottom of the report there are dates vertically. In this way, you can easily identify the most efficient and inefficient dates of your hotel.

  • You can add the number of rooms, number of people, room income and average room income on the graph. To do this, you need to select the relevant options at the bottom.

  • You can also add occupied entries, and outputs to the graphic by using the options at the bottom.

DEPARTMENT REPORT

  • The total debit and credit transaction of account department that you use can be reported on a total basis.

  • By making a selection from "Department" you can only view the totals of departments that you have selected.

CITY LEDGER REPORT

  • The folio that have closed to client account as a deptor can be viewed from this report.

  • With this way, the total folio process of open account can be viewed.

ENTRY AND OVERNIGHT REPORT

  • The entry and overnight report can be taken from this field. Transfering to Microsoft Excel or Open Office can be done from 'Open' button.

 

INVOICE TRANSACTIONS

  • All records that are processed for folio transaction can be listed from this field.

  • You can select the folio transaction that you want to edit. It can be transfered to invoicing screen by clicking the "Move the selected items to the invoicing section" button at the bottom. (you can remove the mark next to definition with double-click)

  • You can fill the invoice info at opened screen.

  • You can complete the invoicing process by clicking the "Create Invoice" button at opened screen by making the necessary check and editing.

 

XML BRM REPORTS

  • You can create the XML file that you need to send to AKBS program.

  • After you specify the report date, you can click the "Filter" button to have the records list.

Income and Payment Definitions

  • You can make income and payment definitions from this area to process folios of your customers.

  • The definitions you make here will be viewed during adding transaction to the folio.

 

Expense Definitions

  • You can define the expenses that you will use in your hotel.

  • You can write name of expense you want to create in the expense definition field.

  • You can choose the account department for the expense and type the expense amount.

 

Extras and Discounts Definitions

  • You can save extra and discount definitions to use in tariff records from this field.

  • It can be reflected to the accounts depending on your choice of extras and discounts you make here (per person or room is generic).

  • To make a selection, you can click on the "Extra Discount" button on the reservation record to open the "Extra and Discounts" field, and you can reflect what you want to transfer to the folio of customer.

  • It can be reflected to the account of customer for every day.

 

Concept Definitions

  • You can create concepts for your hotel by using this field.

  • You can also specify the start and end dates for the concepts you will create, the start and end times for these dates.

  • You can also specify the days for the concept you will create.

  • You can set the price for concept, add description if you like. If you want to add, you can press 'Add All Stocks' button.

 

 

ROOM DEFINITIONS

Room Records

  • You can save the rooms that are in your hotel. You type to the necessary fields about the room you will create. To complete the room record, press the "Save" button at the bottom.

  • By pressing the "Quick Room Registration" button at the top, you can type the start and end numbers of the rooms and make it automatically created by pressing the "OK" button of the rooms of the property you have selected and staying between the two numbers.

  • The "Copy" button allows you to copy rooms with features similar to those you create to a new room. You can complete the recording by editing it.

  • By using the "Images" button you can add pictures of the room to the room card.

 

Definition Type of Room

  • You can specify the capacity of the rooms and the person number from the room type definitions.

  • You can choose the definitions you create during the room records.

 

Bed Type Definitions

  • You can make definitions of your beds from this field.

  • To add a new bed type , you can press the 'Add' button.

  • You can name of the bed type and press the 'Save' button to complete the record.

 

Block Definitions

  • You can make a block definition to determine rooms are which blocks in your hotel.

  • You can use the records you create in this field during the room records.

 

Room View Definition

  • You can define the room view for your rooms.

  • You can choose the definitions you create during the room records.

 

INVENTORY

Inventory Category Definitions

  • You can create a group for the inventory you use at your hotel from this field.

  • You will use the inventory category that you have created in this field in the inventory

 

 

Define Inventory Price Group Definitions

  • You can create a price group for the inventory.

  • You will use the inventory price group in this field in the inventory record.

OTHER DEFINITIONS

Nationality Definitions

  • There are national definitions loaded in the the program. You can use this field to enter comments or add new definitions.

 

Customer Type Definitions

  • You can create customer types that you will use for reservation records from this field.

 

MERGE CUSTOMERCARD

  • You can merge two customer cards from this field.

  • This merging operation tranfers all transactions of source customer card to target customer card .

 

CUSTOMER IMPORT FROM EXCEL

  • You can transfer your customers to program from Microsoft Excel by using this field.

  • Firstly, you should select the excel file path.

  • You will be able to select the excel columns and press the "Transfer Data" button.

UPGRADE FROM OCTOPUS HOTEL PROGRAM

  • The user of OctoPers Hotel program can transfer customer cards to WOLVOX Hotel program.

  • You will only be able to transfer the customer card. You need to find Octopus.FDB transfer way and press the "Start Transfer" button.
